A practical guide to creating a clear and useful privacy policy page – what to cover, where to link it, and how to keep it current.
When a visitor fills in a form, places an order, or simply browses your site, they leave data. A privacy policy page explains what you do with that data. It builds trust and, in many cases, is a legal requirement – for example, under GDPR.
Even if you only collect an email address for a newsletter, you should describe how you use it. Transparency is not a formality. It helps customers feel comfortable sharing their details.
Your privacy policy doesn't have to be a legal document full of jargon. Write it in plain language and cover at least these points:
You can also add concrete examples: “When you submit the contact form, we collect your name and email address so we can reply to you.” This makes the text much easier to understand.
Visitors expect to find the link in the footer of your website. Add it there and also:
Don't hide the page inside Terms and Conditions. It should be reachable from every page, especially before users submit their data.
Avoid long paragraphs and bureaucratic language. Use short sections and clear headings so someone can quickly find the answer they are looking for.
It also helps to explain what happens if there is a data breach and how users can contact your data protection authority. This shows that you take the topic seriously.
Websites change. You add new forms, connect analytics tools, or start sending newsletters. Each change may require an update to your privacy policy.
Review the text at least once a year and include a “Last updated” date. When you make a significant change, announce it briefly in a visible place so users know.
A privacy policy page may not be the most exciting part of your business website, but it is one of the most important for trust and compliance. Write it clearly, link it in obvious places, and update it whenever your site changes.
